Manager of Administrative Systems


The Manager of Administrative Systems will work closely with the Director of Finance and Development. They will be responsible for:

  • working closely with our part-time accountant to manage the finances of the organization using Quickbooks software, which will include billing, invoices, tracking grants, and running and analyzing financial reports
  • manage development operations, including all issues related to database management, annual fund correspondence, gift entry and acknowledgements
  • Serve as a liaison to Boston College for IT, facilities and HR
  • Manage office records, personnel files, technology, facilities, and supplies
  • Support the Executive Director and Division Directors with board relations and communications

Experience:

  • BS or BA or equivalent experience in business management, accounting, or bookeping and a strong interest in financial management
  • Experience in accounting at a non-profit is a plus
  • Experience with Quickbooks is a plus, but training can be provided
  • Membership and development database management experience is also a plus
  • Experience with the Microsoft Office Suite
  • Exceptional organizational skills and an ability to handle many tasks and challenges at once.
  • Ability to work well with many different members of the organization to keep operations runnning smoothly

Compensation:

The salary range is $35,000 to $45,000 a year. UEI provides a generous benefits package, including health, disability, and life insurance and payments into a Supplemental Employee Pension Plan.

In-School Education Program Manager


Job Description

The In-School Education Program Manager will work under the supervision of the Education Director to oversee the successful operation of UEI's In-School Field Studies program in its efforts to support urban public middle and high-school science teachers in the implementation of long-term field studies in urban ecosystems. The In-School Education Program Manager will be responsible for UEI's long-term science education professional development initiatives. S/he will help design monthly innovative teacher professional development workshops, coordinate a teacher mentor network and manage teacher-written curriculum development projects. Efforts at teacher professional development are designed to create a cadre of science teachers that are able to increase young peoples' interest in science, connect them to their local environment and enhance their knowledge of environmental science and urban ecology; such goals are vital to the mission of UEI.

Through this work with public school teachers and administrators, funders, community partners, and academics, s/he will direct UEI's efforts in creating and implementing a standards-based urban science education program which can be shared nationally. Additionally, s/he will coordinate, design, manage and evaluate all aspects of the UEI Field Studies Program in collaboration with the Out of School Time Program Manager. S/he will oversee AmeriCorps*VISTA members, work-study students, employees, interns and other volunteers as they work with teachers to ensure ongoing progress toward the program goals.


Duties and Responsibilities

  • Manage teacher professional development program, including monthly teacher professional development workshops, a Summer Institute, a Winter Institute and a teacher mentor network.

  • Manage relationships with UEI teacher-partners, including coordination of logistical support to 40 educators at 30 public schools in Boston, Cambridge, Revere and Watertown.

  • Supervise 3 full-time AmeriCorps*VISTA volunteers.

  • Organize three citywide student research conferences each year.

  • Work with the Education Director on program budget, program goals, and reporting on grant deliverables.

  • Oversee work of curriculum consultants to develop UEI curriculum materials, including protocols for new studies, lessons, and activities

  • Chair Teacher Advisory Council, facilitating monthly meetings.

  • Manage program assessment, working with educational evaluation consultants from Boston College.

  • Work with Education team to share program model through partnerships in other cities and non-profit organizations.

  • Collaborate with professors and researchers at Boston College’s Lynch School of Education and Arts and Sciences, Environmental Studies Program.

Qualifications

  • Degree in Education (middle and secondary), Environmental Studies or related fields.

  • Experience with teacher professional development, training and support.

  • Candidates with experience in science teaching will be given first consideration, but direct teaching experience is not required.

  • Demonstrated experience in a nonprofit organization, program management, education and outreach, especially in an urban setting.

  • Ability to work both independently and as part of a team, to work under pressure, and to meet deadlines. Applicants must have superior ability to plan, organize, and manage diverse daily activities of the job.

  • Superior written and oral communications skills and ability to present information to and work with educators, scientists, funders, and school administrators.

  • Applicants must demonstrate flexibility, organization, and confidence, since the position will require a large range of tasks. A commitment to the values of a non-profit work environment as well as a willingness to make a specific and substantial commitment to urban science education and youth development in the Boston metro area.

  • While interest in urban ecological issues is required, no specific past experience in urban ecology is necessary. Familiarity with the basics of field studies science and data collection is helpful.

  • Understanding of, or ability and willingness to learn about, local, state, and national education standards.

  • Willingness to work occasional evenings and weekends as needed for travel, meeting with out of town partners, and teacher training efforts.

Compensation

Salary commensurate with experience beginning at $35,000 a year, competitive for program manager positions at comparable NGOs. Health insurance will be paid for by UEI.

Development and Public Relations Assistant


Job Description

Under the direction of the Director of Finance and Development, the Development and Public Relations Assistant will be an active member of the Development and Communications Team. Team goals include:


Enhancement of UEI's philanthropic and sponsorship revenue sources
Enhancement of UEI's media presence in Boston and beyond


Duties and Responsibilities


Web

  • Maintain and enhance the UEI website
  • Develop strategies for use of podcasts and videos on the website

Development

  • Develop all Annual Fund mailings

  • Oversee implementation of two annual fund mailings per year

  • Research prospective funding opportunities from corporations, foundations and individuals

  • Assist with grant writing and grants deadline management

  • Assist with maintainance of the UEI Development Database

  • Assist with Development-related events, such as small gatherings of major donor prospects, an annual gala and an annual online auciton.

Communications

  • Develop all outreach materials

  • Serve as a point of contact with freelance writers or outsourced communications firms hired by UEI

  • Strategize and implement approaches to various regional print and broadcast media

  • Assist with composition, editing, submission, tracking, and follow-up of press releases and media placements

  • Review current public relations materials

  • Identify communications needs

  • Create new print and electronic materials (for specific programs and the whole organization)

  • Maintain UEI's "Press Kits" for various constituencies (i.e. foundations, community groups, teachers, parents, reporters)

Skills and Qualifications

In-School Education Program Assistants


Job Description

The In-School Education Program Assistants will support Boston area teachers and their students in field-based environmental inquiry. The VISTA members will help teachers learn how to gather data on indicators of urban ecosystem health and reinforce fundamental ecological principles in the context of the urban environment. Also, each VISTA will have the opportunity to take the lead on at least one organizational capacity-building project, helping to build social capital among our cadre of teachers or our students. Overall, the VISTA’s energy, knowledge and enthusiasm will be focused on enhancing science education in inner city schools, thereby promoting the stewardship of urban ecosystems through discovery, learning and student empowerment.


Duties and Responsibilities


The specific tasks will include:

  1. Helping 4-6 Boston-area science teachers become confident teaching UEI's field-based environmental science curriculum.

  2. Helping teachers develop and execute a long-term field ecology research project at their schoool site or field site.

  3. Helping teachers to integrate data mangaement into the classroom througgh data observation, collection, field protocols and the website.

  4. Working in pairs to coordinate either the teacher community or student community capacity-building projects.

  5. Coordinating transportation, equipment orders, teacher training workshops and student conferences.

  6. Performing general office tasks, when neccessary, including communicating with teachers and various agencies through e-mail, phone and fax, as well as inputting data in our intra-net and website.

  7. Regularly attending staff meetings and professional development trainings.

  8. Participating in program-specific and organization-wide strategic planning processes.

Skills and Qualifications


We are looking for hard-working, dedicated self-starters who desire a rewarding and challenging experience in urban environmental education. **The Number of Assistant Positions Available is Pending Funding**


Start Date

The start date for Sustainable Cities Assistants is July 15th. The start date for the Education and Development Assistants will be in late August or early September. Positions are full time and one year long with the possibility of re-enrollment for a second year.


Compensation

All Education and Development and Public Relations Assistant positions are AmeriCorps* VISTA placements. AmeriCorps*VISTA will provide a living allowance of about $410 (after taxes) paid once every two weeks. For all members that complete a year of service, they may choose either a $4725 education award or $1200 stipend.
